Representatives at the Annual General Meeting
We would love to have your presence, voice, and ideas at the AGM!
ATI relies on its members to fulfill its mission for the community. Your presence; your thoughts and ideas; your vision; and your energy are all critical for ATI to succeed. However, we understand that not everyone can attend all or part of the AGM. If schedule conflicts prevent you from attending any portion of the AGM, you can still participate through a representative.
What is a Representative?
A representative is someone you designate to stand in for you at an AGM. They may speak on your behalf, if that is what you require, though you do not need to have anything to say. Having a representative gives you the ability to show that you value the ATI decision-making process.
Your representative must be an ATI member who will attend the meetings that you are unable to attend.
If I can only attend part of the AGM, may I still have a representative?
YES!
How does that work?
You may select whomever you wish to serve as your representative.
- If you know someone attending the AGM whom you would like to represent yourself, you may contact them directly.
- If you do not know someone you can ask, there will be a list of representatives in this year’s AGM on Basecamp. This list is dynamic, which means the names on the list will increase as the AGM approaches.
After you have reviewed all the proposals in Basecamp, contact your representative and let them know if you have any questions, concerns, and/or possible resolutions to concerns that you would like them to present. Your representative will share these on your behalf during the meeting. You can also indicate whether you consent to a proposal or if you are willing to stand aside. As the meetings progress, you can follow along in Basecamp so that you can stay updated about the discussion, and you can contact your representative if you have further instructions for how you would like them to act on your behalf.
If I have a representative and will not attend live, should I still register for the AGM?
Yes! Please register for the AGM, so you can be added to the AGM Basecamp group and have access to the meeting recordings, meeting notes, and message threads with further information (including the list of available representatives). You can also ask questions there. Your representative will be your presence at the AGM and show that ATI members support the process and the proposal: via your representative, you contribute to fulfilling the meeting quorum requirements.
Is there a deadline for designating a representative?
We ask that you find a representative at your earliest convenience. Please contact your representative at least four days before the meeting where you require representation. Having prior contact allows the representative time to understand your wishes. If unforeseen circumstances come up at the last minute, contact Rachel Prabhakar at [email protected].
